01Website and service provider

Rail Trip Planner is the trading name used for the planning service on railtripplanner.com. Our service contact is info@railtripplanner.com.

02The planning service

Rail Trip Planner prepares a personalised itinerary PDF and a corresponding Google My Maps trip map for rail travel in Europe. The plan is based on the travel details and preferences supplied with your order and any clarifications agreed afterwards.

The planning fee is €29 per itinerary, not per traveller. It does not pay for transport, accommodation, activities, reservations, insurance or any other travel purchase. Rail Trip Planner does not make bookings, issue travel tickets or provide the recommended transport, accommodation or activities.

03Trip details and feasibility

Please provide accurate trip details, including existing bookings or constraints that could affect the route. We will ask for clarification when essential information is missing or contradictory. Optional preferences do not delay the start of the delivery period unless they become essential to completing your brief.

If the requested combination of destinations, dates, budget or other essential requirements is not workable, we will explain the issue and propose an alternative. We will not silently replace an essential requirement. If no suitable plan can be offered and you do not accept the proposed alternative, we will refund the planning fee.

04Delivery

Delivery is normally within 3–5 business days after we have received payment and the essential information needed to prepare the plan. The order confirmation or a subsequent clarification email will identify when that period starts. The PDF and map link are sent to the email supplied with your order.

Please contact us before ordering if delivery is needed sooner. No urgent delivery option is promised unless specifically agreed. If we cannot meet the agreed delivery period, we will contact you promptly to explain the available options; this does not remove any rights you have because of a delay.

05Preferred language

You may request the language for your PDF. Where a requested language cannot be reliably supported, we will contact you to agree an alternative before preparation. If no suitable alternative is agreed, we will refund the planning fee. Official station and establishment names are retained where useful for finding or booking them.

06Included preference revision

One round of adjustments to the original trip is included. Please request it by email within seven calendar days of delivery and, where possible, combine your changes in one message.

It may cover activity or accommodation preferences and reasonable changes to the allocation of time within the original trip. A substantially different route, different countries or changes to dates or duration that require rebuilding the itinerary are not part of the included preference revision. We will explain the scope before undertaking additional work; no additional charge is made without agreement.

This seven-day period applies to the complimentary preference revision, not to corrections of our errors, complaints or statutory rights. A revision is not ongoing monitoring of the trip. Any material change to the itinerary must also be reflected in the trip map.

07Errors and inability to supply the agreed plan

Contact us if the delivered plan contains an error or fails to reflect an agreed essential requirement. We will assess the issue and make appropriate corrections without charging you or using your preference-revision allowance.

If we cannot provide a suitable plan that meets the agreed essential requirements, we will offer a refund of the planning fee. A correction or refund does not replace any other remedy you are legally entitled to.

08Cancellation and withdrawal

Before preparation starts: if you cancel your order, we will refund the planning fee in full. Email us with your order details.

Consumer withdrawal: the normal withdrawal period for a distance service contract is 14 calendar days from conclusion of the contract. To exercise it, email us a clear statement that you wish to withdraw, including your name, order date and reference. You do not have to give a reason.

The personalised nature of the itinerary does not, by itself, remove this right. Starting preparation or sending the PDF does not automatically make an order non-refundable. Any legally valid exception requires the relevant conditions and information to have been met.

Where a refund is due on withdrawal, it will be made within the applicable statutory period, normally no later than 14 calendar days after your notice, using the original payment method unless another method is agreed without extra cost.

09Bookings, suppliers and changing information

You contract directly with each travel provider and should read its booking, cancellation and participation conditions. The itinerary is not proof of a reservation or of a guaranteed place, fare, room, seat or service.

The document identifies relevant estimates and information that is not yet available for your dates. Published schedules, prices, availability, entry conditions and services may change after research or delivery. Check essential details before purchasing and again before travel. Rail Trip Planner does not provide continuous updates unless a separate arrangement has been expressly agreed.

We remain responsible for carrying out our agreed planning service with appropriate care. These terms do not exclude liability that cannot lawfully be excluded.

10Participation requirements and travel decisions

Consider the provider’s restrictions and your circumstances before booking an activity. Let us know about relevant accessibility or other practical requirements so they can be considered in planning. A recommendation is not a guarantee of safety, suitability or accessibility.

Follow official travel advice, operator instructions and local rules. Administrative, entry and health requirements need checking through the appropriate official sources for the traveller concerned. The plan does not provide medical advice or replace a provider’s safety instructions.

11Affiliate recommendations

Some accommodation and activity links may be affiliate links. Rail Trip Planner may receive a commission if you book through them. Recommendations are selected for their relevance to the trip; using an affiliate link is optional.

This does not make the reservation part of the planning fee. Provider prices and conditions govern the booking. No claim of a price advantage or of no additional cost is made unless it has been verified for the relevant programme.

12Contact and complaints

For a question, correction, revision or complaint, contact info@railtripplanner.com and include your order reference or the email used to order. Explain the issue and, if relevant, the affected section of the itinerary. Do not send card details, identity documents or unrelated sensitive information.

13Website content and your itinerary

You may use your itinerary and map for your own trip and share them with the people travelling with you. Please do not resell the plan or publicly reproduce our guides or branding without permission, except where the law or the relevant licence allows it.

Photographs, maps, fonts and other third-party material retain their own rights and licences. Their inclusion does not mean Rail Trip Planner owns them. Public guides and the example itinerary are general illustrations, not a substitute for a plan based on your circumstances.

Do not use the website to submit fraudulent orders, access other people’s data or interfere with its operation.

14Responsibility and consumer rights

Rail Trip Planner supplies planning recommendations, not the third-party travel services suggested in the document. A provider is responsible for its own bookings and services. We remain responsible for our own planning obligations and for using appropriate care in carrying them out.

These terms do not exclude responsibility for our own actionable errors, impose a blanket waiver for injury or loss, or restrict mandatory consumer rights. The fee is not a general cap on any liability the law requires us to bear.

Contact us first if there is a problem so we can investigate and propose a solution. You retain your right to use the competent consumer authorities and courts. No term requires you to give up the jurisdiction or protection you are entitled to as a consumer.
